Legal & data

Privacy Policy

This policy explains how Britannia English Courses handles personal data submitted through this website, including the registration and enquiry forms and any email or phone contact. It covers what is collected, why, how long it is kept, and how to make a request about your data.

The operator of this website is Britannia English Courses, United Kingdom. Contact details are provided at the end of this document.

Data we collect

What reaches us when you send a form

When you submit a form on this site, we collect the fields you complete: first name, surname, email address and phone number, plus any message you write. A message field is where most people describe their level, the format they want, or the dates that suit them, so it is usually worth filling in.

We also receive the technical data your browser sends with a request, such as the page requested and general connection information. That record exists so the site can serve the page you asked for; it is not used to build a profile of you.

We collect this data so we can respond to your enquiry and manage a course registration if one follows. Nothing more is requested at the point of sending, and no payment details pass through the forms on this site.

Why we use your data

Four things your details are used for

Everything below follows from a request you made of us. We do not sell your personal data, and we do not use it for unrelated marketing without a separate basis for doing so.

  1. Answering your enquiry

We read your message, check which programme or level it points to, and reply with something useful rather than a holding note.

  2. Assessing your level

If you tell us what you have studied before, or where you found a placement test difficult, we use that to judge the right CEFR starting point.

  3. Recommending a course

We match your goal and timetable to a General, Intensive or exam-preparation programme and send schedules and fee information for those options.

  4. Administering a registration

If you register for a course, the same details carry the booking through: confirming your place, sending joining information, and handling changes to dates.

Legal basis

Why we are allowed to hold your details

Where the law requires consent for a specific use, we ask for it separately, at the point that use begins.

Consent

You chose to send us a request and provided your contact details so we could reply to it.

Legitimate interest

Answering a message that was addressed to us, and keeping the correspondence for a reasonable follow-up.

Contract

Where a registration leads to a course booking, the details are needed to run that course with you.

Sharing and processors

Who else sees your data

We may share data with service providers who help us operate the website and communicate with you, such as hosting and email providers. They process data on our instructions and only for those purposes.

We may disclose data where the law requires it, for example in response to a lawful request from a public authority. Outside those two situations, your details stay with us.

Before you send a message

Send only what is needed to answer your question. Please avoid pasting passport numbers, payment card details or medical information into a message field.

Enquiries reach a small team in the London office, where requests are handled and course places are confirmed.

Retention

How long we keep things, and why

Keeping data for a defined period is part of a working privacy policy: long enough to finish the job you asked for, short enough that nothing lingers without a reason.

Enquiry messages

Kept for as long as needed to handle the enquiry and any reasonable follow-up, then deleted or anonymised. If you ask us to close your enquiry, we remove it then rather than waiting for the period to run out.

Registration records

Registration and course records are kept for the period needed to administer the course and meet accounting or legal obligations, which may be longer than the enquiry itself.

Technical records

Connection and page-request information is held only for the short period needed to run and protect the site, then discarded according to our hosting provider's standard rotation.

Your rights

Requests you can make about your data

You can ask for a copy of the personal data we hold about you, request correction of inaccurate data, ask for deletion where there is no overriding obligation to keep it, and object to or restrict certain processing.

To make a request, contact us using the details at the end of this page. We may ask you to verify your identity before acting, so that we do not release your details to someone else.

A copy of your data

We send what we hold in a readable form, and explain where each piece came from.

Correction

If a name, phone number or email address is wrong or out of date, tell us and we will fix it.

Deletion

You can ask us to delete your data where there is no legal or accounting reason for us to keep it.

Objection and restriction

You can object to certain processing, or ask us to hold data without using it while a question is resolved.

Withdrawing consent

Where consent was the basis, you can withdraw it at any time. That stops future use but does not undo what was done before.

Using the forms again

If you ask us to remove your details, a later enquiry will need new information from you, since nothing is kept behind.

Cookies, security and children

The rest of the practical detail

Cookies

This site uses cookies and similar technologies. Our Cookie Policy explains which categories are used, what they do and how you can control them through your browser.

Security

We take reasonable technical and organisational steps to protect personal data against unauthorised access, loss or misuse. No method of transmission or storage is entirely secure, so we cannot promise absolute security.

Children

This site is intended for adults enquiring about English courses. We do not knowingly collect personal data from children through the forms on this site.

Changes and contact

Updates, and how to reach us

We may update this policy to reflect changes in how the site operates or in legal requirements. The current version is the one published on this page, so it is worth checking back if you are about to send us your details.
